By nature, I am quite scatterbrained, though I attempt to conceal it. One tool that helps me achieve this is Notion. The advantage of Notion is that you can completely customize it to fit your needs. However, the drawback is that you can easily get overwhelmed in its endless possibilities. To maintain simplicity, I use a combination of GTD (Getting Things Done), PARA (Projects, Areas, Resources & Archives), and some of my own techniques. Essentially, a lot of YouTube tutorials and personal insights have shaped the system I use today.

Typically, I drop something into my “Inbox,” after which I have three options. For quick tasks, I do them right away. That’s crazy, right? Some items go straight to the trash, while others are developed into projects with multiple actions. This all seems logical at one point, but you’ve got to start somewhere.

Notion Sneak Peek

In my previous blog (RIP), I explored the incredible capabilities of formulas. Since then, I’ve streamlined my setup, embracing the philosophy that less is more.

I continue to use my inbox, but it has now evolved to integrate almost all of my databases. This evolution allows for instant updates across all data. Each database maintains minimal requirements. For instance, every project needs a zone, executor, priority, and estimation. Similarly, each source requires tags, a type, and a publisher. Furthermore, my inbox now acts as a safety net for significantly overdue actions (hint: time to clear them out!). The crucial aspect is to avoid getting overwhelmed, as not all tasks are equally urgent.

I still maintain a homepage, which has been updated by organizing various tables for better clarity. The most notable enhancement is the inclusion of birthdays and contacts I haven’t heard from in a while, probably due to my reluctance to use Facebook.

In a future blog post about Notion, I will discuss my database setup. Do you also use Notion and have useful tips? Please share them!
